Abstract

Developing an electronic records management system has always been challenging for most organisations, healthcare fraternity not excluded. The paper sought to investigate the landscaping of electronic systems using functional patient records management activities and life cycle. The rationale is to share views and guide organisations that are struggling with providing specifications for a functional records management system. The study used a qualitative approach to apply the literature in supporting the views about landscaping electronic systems by using functional records management activities and life cycle. The study revealed that without consideration of records management activities, the likelihood is that the system may not be properly functional. The best way to landscape an electronic system for records management is to use records management activities and life cycle. This will assist in avoiding critical omissions to ensure that all records management system operational activities are included. The paper is proposing a new way of landscaping the electronic system by using the records management functional activities and life cycle. It also provides a framework to guide the implementers or electronic system developers.

Author Biography

Ngoako Solomon Marutha, University of South Africa

Dr. Marutha, Ngoako is a Senior Lecturer in the Department of Information Science at the University of South Africa (Unisa). He is a member of the South African Society of Archivists and serve as a Co-Editor for the Journal of the South African Society of Archivist. He reviewed several peer reviewed journal article manuscripts for Journal of the South African Society of Archivist, Information Development, Mousaion, Biomedical and Pharmacology journal, IGI Global handbook chapters and Eastern and African Regional Countries of the International Council of Archives (ESARBICA) Journal. He previously worked as an information and records manager at Voortrekker hospital, South African Social Security Agency SASSA), St. Rita’s Hospital and Limpopo provincial department of health. Dr Marutha also worked for the Council for Scientific and Industrial Research (CSIR), Palmer Development Group (PDG), and Vaal University of technology (VUT), Monash University, and Limpopo department of spots, arts and culture as a Librarian. He hold BInf (UNIN), BInf HONS (UNIN), Minf (UNISA) and D LIT ET PHIL (UNISA). He presented several conference papers and published articles. He is also appointed as externa examiner for University of Limpopo, University of Zululand and University of Cape Town.
